Hey friend! Mkay so in full disclosure, I've been weird this week.
I haven't wanted to go to the gym and I'm in this awkward space of, noooooo don't go back to school while also, yessssss get the heck outta here, yo! I'm not sure if any of you mamas can relate. Anyway, we leave for our last summer cabin trip today and as an Enneagram 3 I am all kinds of stressed. In typical Stef fasion I have a to-do list filled with things to pack, rooms to clean, dog sitting, post the new podcast, clean out the inbox... WHY do I think that just because we are leaving town for the weekend everything has to be P E R F E C T?! So here I am this morning talking myself out of my routine. Nah, I shouldn't go to the gym I have soooo much to do. It will be easier if I stay home and work. Excuse after excuse popped in. I stopped myself and looked at my morning intention that I had written in WITH GOD SHE RISES (sidebar: I am still in disbelief I'm writing in a journal I published... like what the what.....) and it said: "I want to feel pro-active and refreshed today". Well, DANGIT Stefanie. I KNEW if I didn't get my workout in I'd be groggy, blah, boo, whaaaaaa. You know what I mean, yeah? I downed that luke-warm coffee. Threw my mop in a mom-bun, tucked the girls into a sports bra and laced up dem shoes. I packed my laptop, my journal, and my planner and off we went. Moral of this very long story? DO. THE. THING. Do the stuff that you don't want to do because it's hard, inconvienent, scary, boring, or _____ (insert excuse here). We don't grow out of staying home. Staying stuck. Staying boo blah, whaaaa.... What kind of life do you WANT? I want a life filled with words like "pro-active & refreshed". So here I sit - no kids (thanks daycare), 73 degrees, overlooking a crisp, blue pool, manicured gardens, birds chirping, drinking a hot cup of fresh coffee, writing this love note to YOU. I don't know about you but that feels pretty. dang. REFRESHING. I am pushing you to define your intention for today and this weekend, right now. HOW DO YOU WANT TO FEEL? I'm excited. Let's do it. Okay. In today's episode boss, I am going to talk you through how my followup process closes over 55% of leads within 90 days. So first of all, I have to be really brutally honest with you. I didn't implement a really good followup process until four months ago. I know it's really bad back in my network marketing days, I would use a note card system. And this is wonderful. A wonderful system for those of you that are in network marketing, because you have so many soft touches, so many leads, it's really difficult to use like a whiteboard or a spreadsheet because all of a sudden you have a hundred leads. How do you know who's a hot lead who's actually going to convert when to drop the lead and it becomes overwhelming. So the note card system is simply a small note card box. We didn't get them at like the dollar store and it holds three by five index cards. And it has a filing system in there. And you're just going to have a different folder for each day. So Monday has a little slot, Tuesday, Wednesday, Thursday, Friday, Saturday, then next month it says next month on it. And then it says three month follow-up. So every lead that becomes a warm lead, and this would be for those of you that have a lot of leads. Maybe you have a very inexpensive product or you're in network marketing. And I'm going to talk to you about this first because this is what I used to do and it worked great, but I have a different system for now. So you're going to write down, let's say that you pitch stuff. Hey Steph, you know, I saw that you have winging hair and I wanted to send you some free shampoo that will fix your wingding hair. And you're going to love me. And here it is for free. And please take it. And let's say that I wasn't like super savvy to network marketing. And I was like, Oh yes, send me some free samples. I know better. Y'all because y'all are relentless. But let's say you sent to me that you would write my name on a note card, Steph gas. I sent her a sample of the wingding shampoo. Follow up with her in a week to see how she liked it. So you write that down. You're going to put it in your file for Friday, for the next week. Okay. On Friday, you're going to look in your Friday folder and see, Oh, I was supposed to follow up with Steph gas and you're going to casually, hit me up on DMS. Use a voice text. Hey staff, Hey girl, how you Wingdings doing? That's it don't be creepy or weird. Don't oversell it. Stop it. Stop the madness. And I'm going to say, Oh girl, like I loved it. My Wingdings are just not even if you guys are like, what is she talking about? My hair sticks up crazy in the front of my head. If you go watch my Instagram stories, I'm always joking about it. Let's say that. I'm like, Oh my gosh, my Wingdings are like, totally behaving themselves. I'm obsessed with your shampoo. I love it. Where do I buy? Cool. Done, done deal. Or let's say I ignore you. I don't answer you. You have a couple choices here. Are you going to freak out? You're like, Oh my gosh, Stephanie hated this Shampoo. My life is over. I don't know. I'm just, I'm just going to delete this card. Don't do that girl. I'm busy. I open DMS. I don't ignore them. I forget them. I opened my text messages and in my brain, I reply and I don't actually reply. Like, look, I lose my coffee on a daily basis. I'm like, where is it? I lose my phone and it's in my pocket. Like I am a mother. Like, let's get real. Just move the follow-up to the next week or two, three days out. Hey Steph, I didn't hear from you just checking back in girlfriend, wanting to see how them wing deacons are doing, like be casual, be normal be. And I'll be like, Oh my gosh, I forgot to reply to you. Okay. So that is a great system to use for network marketers. I know a lot of you are in network marketing. Now I used to use that system. It's phenomenal. But for those of you that are coaches, you have a more of a high ticket price point. So I would say you sell something that's a hundred dollars or more. Okay. You want to kind of a different followup system. I think the note cards are great initially, but for me, okay, let me take you through what happen for me. I had these big ticket leads that would come in through email or DM like Stephanie, how much do you charge you coaching? Like that's a hot lead. She's literally asking me for prices on private coaching or Hey Steph, I was looking at podcast pro university and I was curious about module four. Does it really give a tutorial on how to edit your show? Like that's a hot lead. She's actually digging into my course. Right? Here's what I used to do. I would reply back to them and then ignore it. I'm like, well, if they buy, they buy, if they don't, they don't and that's fine. But I had to remind myself that people are like me. They want to buy, but they're busy and there's not really a sense of urgency. There's no reason to purchase today. And so they forget about it. And if you don't purchase, when you're really excited about something within maybe 30 days, you're probably never going to buy it. And so I feel that I was losing so much revenue because I wasn't following up consistently. I didn't have a system. So at first, and let me tell you something, you guys have heard this before, but fortune really, truly is in the follow-up. Since launching my podcast, the podcast serves as an organic funnel. When you guys come listen to the show, you resonate with me, right? You laugh with me. You learn from me, you joined my email list. Then you're reading my emails. Then you see, Oh, Stefanie offers coaching. Oh, Stefanie has courses. You start to look at my products and think about working with me at a higher capacity. Am I right? How many of you has that happened for, and maybe you've never bought something from me, but it doesn't mean it hasn't crossed your mind. So this podcast began serving as an organic funnel and people started to follow me in a much higher capacity. People started to email me about working together. People were joining the list in higher quantities than ever before. And I wasn't used to that because before I could handle the, you know, three leads a week, but all of a sudden I started about a year ago. It just exploded. And so if you are thinking about podcasting, let me plug something for you real quick. Having a podcast is the best way to organically grow a brand period. And if you're thinking about doing a podcast, you have got to go watch my webinar and see if it feels in alignment for you seriously. Like you must watch that you don't have to ever work with me. You don't have to hire me. You don't need to do anything else, but watch that webinar because I'm telling you my online business completely shifted. Once I started pouring out value into my community and podcasting was the most incredible thing I've ever done for my business. So it's Bitly B I T dot L Y slash 10 steps to podcasting Bitly slash 10 steps to podcasting. That's a total sidebar. That's not what we're talking about, but there you go. So podcasting services, incredible organic funnel, right? And I started having all these leads come in and I'm like, what's happening with these leads? Like I don't even know. And so at first I tried using a CRM system, which is called a customer relationship management system. You guys may have heard of this. If you have not, you will. The bigger you get in, in the industry, in, in marketing, whatever you do now, there's a couple of things you can do. You can use, I have get response, which I love. They have a customer relationship manager right there embedded in my system, but it was kind of archaic. Cause I'm like, I got to get in there. I got to write their name and create a file for this person. And then I got to remember to go back in there and follow up with her. And like, I don't have time for all that. And it's not something I can really outsource. So I went back to what I love the trusty old XL file. You guys think I'm joking. Let's simplify now. I don't care if you want to use a whiteboard. If you are a computer person, whatever. I love Excel. I love it. It's like my favorite thing ever, because you can sort, you can filter. So what I did is every time I got a serious inquiry, let's say a hundred dollars or more. They're looking at my Facebook and branding course, my Instagram course, my podcast pro university or private coaching, anything that I would deem as like substantial. I jotted down their name. I had an Excel file. It's called leads. Like this is not brain surgery. Okay. I wrote them down. I wrote down the date in which they reached out to me in the third column. I wrote what they were interested in, in the fourth column. I wrote where we are in the relationship or funnel process. Okay. I'll give you some examples in a moment then in the one, two, three, four, fifth column, I wrote the value of this lead. So if this lead is interested in my podcast pro university course, I know that the value of my lead is $500. Now in the next column I wrote, did they do it? Yes or no. Okay. And then there are two colors. There are white. Okay. There are three colors. There is no color at all. Which just means this is still an open lead there's yellow, which means bought. I closed quote, unquote, this lead. And now granted guys, these are human beings and I love them. And I'm so obsessed with my students. But for the purpose of this training, I'm going to be speaking to you in business terms. So my lead converted, my lead closed with me just so that you can stay with me. Now, the third color is gray and that means that lead has gone cold. Okay. I'm not deleting them off the list, but I'm graying them out for now. So that's what I started to do. I started to write them down. Then every month I would create a line and I would start a new list of leads. So let's just take March. For example, I wrote down everybody from March and then I would follow up with everyone once a week and see, Hey, did you have any more questions about that? Can I send you a free webinar on this topic? Hey girl, I just came out with a podcast about whatever, blink, blink, blink that you were interested in. Like I'm just touching her, right? I'm just front of mind with that lead. I'm liking her stuff on instant. I'm getting to know her because when I get to know her, I can serve her better. You know, maybe I'm commenting on one of her funny stories. So I'm connecting with these people and at any given time, like, let me see so far in these last four months, my highest month had 24 hot leads come through. And these are hot leads that, and I don't even know some of the leads, right? Cause people could go look something up on my website and I would never know. But these are people that are reaching out to me directly that I know are leads. So these leads are coming to me. I'm not going to these people. You guys saying, Hey Claire, are you interested in this webinar? Because you've been posting about this. Like I'm literally not even doing sales outreach. I'm doing PR, I'm doing this podcast. I'm pouring into you guys. I'm showing up on Instagram stories, making you laugh, answering your questions. And then you are coming to me saying, can I spend money with you? Can you imagine that? So again, Bitly slash 10 steps to podcasting SIS. Like you need to learn. You need to look at it and just have an open mind, open heart. Because if you can create an organic funnel using something like podcasting or Facebook live drive traffic using Pinterest, your biggest problem is how to close leads. Like, hello. That is amazing. Am I right? So back to this file. So all of these people have been written down now once a week, I'm touching base and I'm just going to update that fourth column. For example, since the webinar, let's say, let me give you an example. Let's say that Renee reached out to me on April 26th and Renee said that she was interested in doing podcast pro university, but she was so nervous. She wasn't sure if podcasting was for her, what would be the first step here? You guys add value and make her feel comfortable, not sell her. So like, Hey Renee, that is voice text. Hey Renee. That is so normal to feel terrified. I get it. You know, it's scary. What would you talk about when people listen? What are the costs involved? How much time is it going to take? Listen, let's do a 15 minute consult and I will help you see if podcasting is a good fit, because let's be honest. It's not a good fit for everyone. And I want to help her through that decision making process. So step one would be to get Renee on the phone. So we had that phone call the following week. She's still white because she's an open lead for me. You can use whatever color system you want, but mine is obviously for some reason, pretty busted. I've yellow, gray and white. I don't know what's up with that. Anyhow. I need to change that. So the next week I follow up with Renee. Hey Renee, have you thought any more about our conversation? I wanted to remind you that I have this webinar. If you really still, aren't sure it's got amazing questions in there. I answer everything you need to know about podcasting. It's just 10 steps to podcasting. I think that would be a great next step for you while you consider the course. So then I'm going to send Renee to the podcast or to the webinar. Okay. So that would be the second followup with Renee in the third week. I'm going to follow back up with her. Hey Grenache. Hey girl. Just circling back. I saw your adorable post on Instagram. How was your trip to Germany? I'm so excited for you. I used to go to Germany all the time. Like let me just start a conversation with Renee. That's has nothing to do with the course because I want to build more rapport with her and I want to be front of mine. So at that point, Renee was actually like, okay, stuff like seriously, I have to get your course. It's just a matter of the money. And so then I was able to remind Renee that there was a payment plan option. I said, Hey Renee, do the three month plan. You can split it up, pick a couple hundred bucks a month while you build this out, while you make this podcast, you know, scale it and start to grow your organic following. And she was like, Oh my gosh, you're so right. Well, by the end of that day, she bought the course. I then changed Renee's line to yellow from white. And I put the value of her in at 500 bucks. And I put a note, Renee purchased within 30 days. Okay. So she was yellow. Now. There's been other people that same process. Let's say we have something else. Somebody is interested in private coaching. Okay. And she doesn't answer me at week one. I'm like, Hey sent you that coaching menu. Did you have any questions? Let's get on the phone. We'll have a free consultation. She never answers me at all. Cool. The following week, I go check out some of her stuff on Instagram, shoot her a DM, something else outside of coaching. Just give her some free advice. I don't know anything to just connect with her again. And then let's say nothing again. She ignores me again third week. Absolutely nothing. I'm just going to table her. I'm going to move her entire line to the following month. Okay. So I only want to look at the leads that are hot for this month. So in March, when I closed out the month, anybody that had it purchased and that wasn't a hard, no, they weren't great out. I moved them into April. Same thing when April closed out who was still white unhighlighted I moved them down into may. Anybody that's gray, they just stay there. They're gray. And if I have time or a call on my heart to go back to those gray people that gave me a hard, no, I will. I'll make sure they're on my email list. I'll make sure I nurture them and send them all the free content that I possibly have because it's probably just a not right now. You know what I mean? The yellow people, the people that became yellow, they bought from me. So I want to also follow up with them the following month. How, how is it going? How is your course going? Are you part of the group community? Can we do any other coaching together? Do you want some private implementation coaching? And because you know, those people are hot leads. So since doing this process for roughly four months out of all of these people that have reached out to me organically, they found me and asked me about working together in whatever capacity, over 100 bucks. Okay. I have been able to secure 55% of these sales in 90 days or less. And some of them are still open right now, by the way. So that number probably is going to go up. The only thing I changed changed was I created this XL file. Like let's talk about like silly, simple, okay. Where I could see in one month who I was supposed to be focused on for one month, why did they need me? Where were they in the process? Because this is still manual. As much as people are touting, just do a sales funnel and we'll take care of it for you. That is not how I feel. That is not the experience that I've had. I would love to get there, but I am not there today. I don't have the investment capacity to set up high level systemized funnels right now. So right now today, if you are, you know, a couple of six figures and down even six figures and down the high touch is going to get you a much higher return on your, on your investment than trying to just set up a basic funnel. Like I do have a funnel for some things, but it doesn't resonate with her at the highest level. You know, it's like, yes, if she just generally wants to start a podcast and I might tug on some heart strings, but if I can get a 10%, even a 5% purchase rate out of my funnel, I'm like jumping for joy. Did you hear what I said? I got over 55% purchase rate, simply from creating a high touch experience, taking them from lead question, communication front of mind, liking their stuff, showing up on their Instagram, saying what's up, making them a priority for me, sending them free content that has to do with what they're interested in, personalizing it for her. And then finally asking for the sale when it's been about 30 days, Hey, are you ready to purchase? Or what? Like, let's do this thing girl. And if not, why not? And if not now, Hey, it's okay. Like you have an hour. I am never going to pressure you if you're not ready. But if you are excited and willing, I am going to push you because I think that you have that calling on your heart on purpose. So it's just being a friend to these people that are interested in working with you and making it a personal experience for them. They never felt pressured by me, but they always felt loved. They always felt thought of, they felt like I was sending them free stuff to help them along their journey and whether they purchase from me or not. I love them still. Like if somebody great out, I'm not like, Oh, I hate you. Get off my list. Like you didn't buy for me. Heck no. I'm like, I hope something that I created that was free, helped this person truly like I'm not here to make money off of people. I'm here to help people. I'm here to inspire them and push them forward and motivate them. And if one of my courses or coaching products helps them in that journey, get them there faster. Fantastic. That is a win. That is something that I am so excited about. And if it does it, that is fantastic too. But this tool, this simple, simple follow-up XL sheet, okay. Nothing fancy has completely transformed the signup rate of my leads. So there you have it. I really hope that you found that super helpful that if you don't have a system of follow-up right now that you quickly set one up that you focus on casual conversation, don't be weird. Don't be salesy. Don't get a bunch of strangers on the phone to talk to your leads. Like just be a normal human, be honest, authentic, trustworthy, answer their questions. Honestly, tell people the truth about what you, what your product good or service can do for them. Be really open about it. You know, you can share some testimonies, some case studies, you can just pop it over into their social media and be front of mind. And remember that when people are ready, they will buy from people they love and they trust and they laugh with and they enjoy. So don't get weird or pushy or creepy and force people because then they're going to run from you and never buy from you. Or if they do, they will never buy again. You want to nurture be patient and trust that the right customers are coming to you through your free, incredible value and hopefully your organic funnel. And I don't care if that's seriously, guys, I don't care if it's blogging. If it's Facebook live YouTube, Instagram TV, for me, it's podcasting. Maybe it's not podcasting for you. I know it doesn't matter to me what it is, but you need to do something where you are showing up consistently. You are answering that avatar's questions, the things she's thinking about all night, what is she struggling with? Where is she in this journey? What does she need from you? How can you help her for free over and over and over and over and over and over and over and over and over and over and over, and then simply monetize that free content with your product or with your service or with your course or with your coaching. It's not about the product. It's about the free stuff. It's about the public service, the servant heart first that's, what's going to make a difference for you in your bank account. That whatever moment you're having with yourself lately, whether you're proud of yourself, whether it's a hard moment, whether you're feeling lost or maybe you're feeling like you should just quit throw in the towel, know that you're in that moment, that feeling that season on purpose inside of that is a lesson for you from God that you need to allow to play out. You've got to trust the process. I pray that God gives you the strength to endure his process, that he set up for you so that you can live through the things you need to live through so that you can make a bigger impact on this earth, on your customer, on your family and ultimately on yourself.
