The Magic of Batch Working

Back in November I decided to undergo surgery to remove my 13 year old breast implants. Don't worry this episode isn't about boobs. #awkwardalert 

However, surgery planning totally freaked me out because, well, I run a multi-income business. My brain started spinning... but how will I meet with my private clients? How will I continue my podcast? Who will take care of my kids and what about cleaning... and laundry... Okay you busted me I didn't think about laundry. Ha. Ha.

I was already a guru at time blocking. Which means setting aside power hours in my day to be a work ninja... but what about setting weeks aside? Months even?

I started toying with something called batch working. I know what you're thinking because I thought it too. Batch = cookies. Yum. But no. Stick with me...

Batch working means bundling one project and mass creation ahead of time when you are uber focused and in the flow. It's taking something you do weekly or even daily and preparing it in advance so that you can automate your process and actually... wait for it... take TIME off!

Examples:

You do a new blog post 2x a week.
Instead: Batch 8 blog posts in one weekend 2x a month. Automate the publishing process and wa-la....

You do 1 social media post per day.
Instead: Batch 7 social media posts each Sunday. Automate the publishing process and wa-la....

I was able to batch my entire business in the months leading up to surgery so that I could Netflix and chill for 3/4 weeks!

What up girlfriend, welcome to episode number 51. We are going to be talking about batching your work. And if you've ever heard a batching before, this is like the new hottest term batching, what is batching mean? It's not like batching up some cookies, even though that sounds delicious. However, what it is is creating time blocks to get stuff done. And instead of doing just one thing, piecemeal or being reactive, it's taking time to batch your work together and get one of the same task or one item done multiple times in a certain period of time. So for example, meal prepping that is batching. You're batching your meals for the week, potentially writing your blog posts. Maybe you write five blog posts on Sunday, instead of writing one per day, maybe it's cleaning every Sunday. You're clean, deep cleaning instead of doing tiny stuff all week long, there are many different ways to batch.

And I'm so excited to talk to you about all the things I batch and how this totally saves my life opens up time and space for vacations, for things I need to do for sabbaticals, for surgeries, right? Like batching is a lifesaver and it also helps you be so intentional about your life. And so I'm pumped. I hope you are. Before we get into all of that, let me read you all the review of the week. Let's talk about back gene. I seriously keep thinking about cookies now. Thanks a lot batch. Jeez. All right guys. So first off, like what do I batch I'm batching right now? By the time y'all listen to this, I will have had my surgery. However, obviously leading up to such a big break in work. Like I wanted to prepare over four weeks of time and space for myself to heal, to rest, to let's get real binge, watch some TV, read some good books. I'm going to update my courses. It's going to be such a wonderful time, but I didn't want to be stressed out social media posting podcast episodes. I'm like, wow, all the real time stuff. So here is how you can prepare for that. And this, this can go for sabbaticals surgeries, having a child taking the summer off. It can even just go for having a weekend off and you batch stuff throughout the week.

For example, I've been batching podcast episodes, and that means instead of just recording one or two per week, I've been recording six. And that way I have this overlap of episodes that I can launch and actually pre schedule. I'm going to schedule everything out, write the content that goes with it, set up the post that goes with it, set up the email responder. That way all I have to do is relax and automatically everything will publish. It's a beautiful thing, but to prepare yourself for that, you have to batch. So what I've been doing is time blocking out when my son is napping, or if I have extra time at night, when my husband is home, I will time block out and I will batch episodes. And instead of recording one I'll record three, for example. So it's just doing something when you're already in the zone for that thing and taking time to do something in one block of time, because how much more difficult would it be?

If I was recording the same three episodes on different days, I have to set up all the equipment again. I have to figure out all the notes. What am I going to talk about each day? I have to get in the Headspace to record shows. I have to get everything quiet. I have to make sure that all the ringers are off again and again and again, instead of just doing it once, getting out all the content, having way too many drinks surrounding me from everything. I mean, literally like I think I have five drinks right now, which is so funny. Cause you can't even drink when you're recording episodes, but apparently that's like a thing and it's batching out the stuff in one time and being way more proactive about it. What else can you batch? And what else do I batch? I batch my social media instead of doing one post a day and I have to log in and have to figure out what I want to say.

Figure out which are relevant. Hashtags upload the photo. What I do is I create the graphics once a month. So I'm uploading the graphics into CAMBA. I'm adding the border and editing the photos once a month, it's done all the photos are uploaded into my automation software. And then once a week I go in and I create all of the comments or the caption for my social media. And that way I don't have to worry about it or think about it. And I'm already in the wavelength. I've already got my focus in, I have zero distractions going on and that all I'm doing is writing out the posts. And then I put it into the scheduling software for Instagram. I put it in the scheduling software for Facebook and for the group group and publish and it audit medically posts for me. So you can batch all of the social media posting.

You can even go as far as batching clients, instead of taking a client. This doesn't always work out for me because you have to think about scheduling. However, if I can take one day per week and meet with five clients, that for me, it feels so much more proactive and productive than if I'm meeting with a client all week long. I've got to put my face back on and y'all know, I hate to put makeup on. Not that my clients care, they totally don't, but I like to look somewhat presentable. So I only have to do it once I already have the setup ready. I already have the children taken care of. I already have my computer up and running. I'm in the head space of meeting with clients. I've got that really creative juice flowing. And it's just really amazing to know today is client day.

I'm so ready to put all of my energy forth into these people instead of, Oh crap, I've got a client and then I've got to do a podcast episode and then I still have to post social media. And I feel like when you don't have batch working, you're constantly reactive to what's due and what's next. So I love to batch as much as I can. And like I mentioned, you can do small batches like I do for social media, for example, once a week, or like I do for podcast recording, typically I'll do three podcast recordings in one sit down, or you can do really big batches. For example, you know, if you're a blogger, I mean, you could potentially write all of your month's blog posts in one day. Like it's up to you. How big do you want to batch? You can do a year's worth of stuff.

You can do a month's worth of stuff. You could just do a couple of days worth, but regardless of whether you're big batching or small batching, it's a beautiful process to get accustomed to because it will create a routine for you when it comes to producing content and all of your stuff automatically. And the beauty of it too is once you learn how to batch on a small basis at a, at, at like a weekly level, let's say you have a big sabbatical coming up or you want to take a month vacation. You'll already know, Hey, how do I batch for the week? And now I can do it for an entire month, you know, instead of, Oh, I'm going to do a week's worth of social media. You would batch an entire three weeks of social media and all you do is schedule it out and let's see.

I mean, let's say you're even like a fitness or wellness coach. You could even batch out your workouts. You could say, Hey, I'm going to do five mini videos with all five of my workouts and I'm going to do it today. I'm already dressed. I already have my house cleaned up. I already have the lighting, correct. Like I have everything ready. And you could just do your videos at once. Instead of every day, you've got to get dressed again, get the lighting, correct? Reclean the house, get your kids to be quiet. Like, just think about the time you say Dave, same thing with cooking meal prepping, you know, I mean, I could make dinner every single night from scratch refill my dishes dirty at my kitchen. Again, cook chicken four times, or I can say on Sunday, literally this is my weekend on Sunday. I can spend four hours.

I can make my chicken noodle soup. I can boil all my eggs. I can prepare the snacks for the kids. I can cook the beef ahead of time. You can do all this stuff to set you up for success so that you don't have to clean up all week. There's only one cleanup. All you have to do is the side and put the things together and roll it in the tortilla. It makes your life so much more organized, but it just creates more flow. And it makes your life easier truly at the end of the day. Here's another reason batching is so successful. Batching is not multitasking. Multitasking has been proven over and over again that it crushes productivity. Now I am a multi-tasker. I truly, I love to multitask. I do. I love that kind of, I can cook dinner here. My husband's saying this or that, watch here, what my kids are fighting about.

Hear my phone ringing. Like I do like that. I'm aware of so many things, but I also understand that it takes away from my present moment. My present being just cooking, like just cooking, smelling the smells, focusing on one thing, doing a great job all the way through instead of being interrupted and maybe doing halfway good job, because I'm also doing this. When we switch from one task to the other, our attention is diverted. Like our willpower goes down. The next task is going to be affected as well. So it's the beauty of stopping the distraction and all the multitasking and saying I'm to focus on a one thing until it is completed 100% and it's really done well. So if you want to batch stuff, here is what you and you do trust me because it's so amazing. Here are the things that you need to consider and you want to start preparing for, as you shift into becoming a batcher.

Okay? First of all is time. You have to create uninterrupted time to batch. This is where you're going to block all the distractions. You're going to let all the other tasks, leave your mind. If you need to like me, I have to write every single thing down in my planner for the day. And then I'm going to create my batch space. So right now from 1130, until two o'clock, I have batched in the planner. It's time blocked podcast recording. That is all. I am not getting up to check my phone. I'm not walking to the other room because the dryer went off. Like there's nothing else that I am allowing myself to focus on other than the task at hand, which means I'm fully present. I'm showing up to do my absolute best work. I have all of the technology setup. One time to create three episodes.

And I am able to just put out the very best content possible real quick. I am so excited to let you in on a huge secret something I've been working on behind the scenes and it is called podcast pro university. What the heck is that? And why do you need to know about it? Well, let me tell you some crazy stuff. Since launching my podcast, roughly six months ago, I've been able to have thousands of new people into my community. And revenue has increased by over 98% and I've changed absolutely nothing except showing up for my podcast consistently. It's more simple than you can imagine to launch a show and it's been more fun and fulfilling than anything else that I think I've ever done in my entrepreneurship journey. If you've ever considered starting a podcast, but you've been thinking, what should I launch? What should I talk about?

Now, if you're struggling with this, there are answers. You can hire a babysitter and again, investing that is an investment. You are investing in someone to play with your children, help them with their homework, make them dinner, whatever you need to do so that you can be really proactive in your business at there've been times when I need to batch an entire course and I will have my husband watch my kids for an entire weekend.

I will go and stay at my mom's house in her Caseta. I won't take phone calls. I won't take clients. I won't go on social media. And I will create an entire course in 48 hours because it's just so much more productive than me trying to record mini modules. And my kids are walking in and they got a poop P and it's just crazy up in here. And, and I promise you, it's way more proactive to just get it done in one fell swoop. So get a babysitter or ask your neighbor to watch your dog for a while. If you have like a crazy dog, Hugo just is here and you guys don't mind. So there's that? Yeah. Even use a vacation day. Like if you have a job and you can just never find a big block of time, just to big vacation day or tea or whatever you need to do to get the thing done, maybe you need to take two vacation days.

Like whatever it means for you to have a dedicated block of time, time it's worth it. The next one is to consider and get your environment ready. If you work from home like me and you just can't avoid the distraction. The dishes constantly find yourself doing dishes when you're supposed to be writing blog posts, or let's say you're a network marketer and you work from home and you just keep seeing the followup list and you keep going back to who do I need to follow up with, or, or which customer needs to reorder. And you know, your house is not conducive to batching. Leave that environment. Maybe you have to go to the coffee shop to get your batch stuff done. Maybe you even have to leave town. Maybe you need to get a hotel room for a couple of days to write the book or to record the course.

You know, I mean, you decide what is the environment that's going to get you in the zone so that you can be the most productive, incredible you and your work is going to shine. You are going to be happier with the outcome. If you really put 100% of yourself into every little component that you batch, here's the next one, having clear goals and a roadmap for achievement. So if you are going to batch some work that day, I want you to have a goal in mind. This is getting one successful thing done. So here's what you can do. For example, when I sat down today, I said, I'm going to, I am not getting up unless it's to pee until I three episodes, period, maybe for you. It's I have to write 15 pages of the book. I'm going to sit down and I'm going to do this thing with zero distraction.

I'm going to batch work for three hours until I get it done. Maybe it's cleaning and you're going to batch cleaning once a month. You're going to do deep cleaning with zero distraction. You're not going to watch a show at the same time, which that would be absolutely crazy. Cause like who would ever clean without watching a TV show? Like that is my jam, but it's just what came up. Okay. I'm sorry. Full, full truth here. Disclaimer. But maybe that's what it means. It means deep cleaning every inch and you're doing it all day long and you got childcare so that you could do this thing. My husband and I, we just batched the garage an entire weekend from morning until night. We cleaned every inch of our garage, every box, every nook and cranny, we organized everything and it was so exhausting and I didn't love it, but it's done.

And it feels incredible. And it's so much better than how we were doing it, which was, Hey, we should just organize and straighten up the garage for an hour this weekend. And then the next weekend, it was right back where it was. All of the clutter was still there. All the old stuff that wasn't serving us was still there. And if we would just batch it, it will just be done until maybe six months from now. And we can batch again. And do you guys see, like, it brings happiness to be done with something and she truly do it from start to finish. Now, the next thing to prep for batching is to have the right equipment.

Oh, y'all are gonna love this one. So when I was at my mom's and I was batching a course, it was a big one. I don't remember which course it was, but it was one of the big courses I have. And I was there and I was recording all of the videos and I was doing all of the PowerPoints that go with it and creating all the templates and the downloads uploading it all. Cause her internet is fierce and I live in the PO dunks out here. And so I knew if I can upload everything there, do all these videos, I'm going to be so much more efficient. I get there and she lives 30 minutes away and I've worked for maybe six hours and my computer died. Yup. And guess what? I did not bring my charger. I'm not making this up. I am so serious.

So it was so annoying because I had to, I actually had to meet with a friend who lived semi-close and she had, I thought the right charger. I went and got her charger. It was the wrong charger. It didn't fit. I had to drive all the way home to get the charger. And like, it's just a hot mess. Yo. So if you're going to batch do an extra 10 minute inventory of your technology, do you have the computer? Do you have the software downloaded that you need? Do you have a backup charger? Do you have your phone charger? Do you have your, whatever you need? Do you have your copyright ready? Did you write notes on paper? Don't forget those. Do you need your microphone? Do you need your headphones? Like what do you need for this day to be successful? If I'm going to batch social media posts, I need to make sure I have all of the photos saved on my desktop so that I can upload them to the software.

You know? So it's just making sure that you are set up for success before you try to go do the thing. Otherwise you're spending all the time that you were going to batch, figuring out technology or playing catch-up or XYZ. So just make sure that you're prepared. Now. Here's another one for ya. And this is to let people know about your batch time. If you don't announce to the world, Hey, I'm going black for three hours. 'Cause you're not gonna be able to get ahold of me on social media. I'm going to log out of all my stuff. I'm turning off my phone. I am Mia. Then we're going to be blowing you up. If your mom is like my mom, she's like, hello. Why aren't you answering? Are you alive? Like what's happening? Your husband's flipping out. All of a sudden people are knocking on your door.

Like, are you okay? And you're like, what? I'm just babbling. So I let people know it. For example. Well, at 1115 today, I said, husband, I'm going to be podcast recording. I will not answer the phone for the next three hours. Do you need anything? Like let the people know that might flip out or be freaked out that you are answering them, let them know you're busy batching so that you don't have anything hanging over you. You don't feel the need to check your phone in case your spouse calls or your best friend is going through a trauma. Like you've let everybody know, Hey, I'm going to be doing this thing for X, Y, Z amount of time. And that allows you to be free to go and do that thing for me. It's it's, that's one of the hardest things when it comes to being present is worrying about, is a client writing me?

Why is my email dinging? It must be something important. So if I can just put it into the world that I'm not available, it's like an office, ours mentality, I guess that really helps people like not bug you so you can get all your stuff done and have the batching experience be such a success story. Okay. Now here is my very last tip on batching and is don't wait to start this new practice. Don't wait until you need to batch stuff to start, put it on your calendar and put it on your radar immediately. I want you to write, get a piece of paper or get out that word doc or that Google docs. And I want you to type a list of all the things that you do that are recurring. Okay. Do you follow up with people? Do you post content, blog, posts, videos, YouTube videos.

Do you write social media posts? Do you meet with clients every week? Do you do personal training for people? Do you cook? Are you a chef? Like what do you do every week that is recurring? Make a list. And then I want you to think about where the time opportunities are during your week to batch those processes and make it less strenuous and less reactive. If you are a chef and you are cooking for three families and you're out delivering their meals and maybe you're cooking every day and you're delivering every day when it's done, think about, can you cook on Monday and Tuesday and then go do all the deliveries on Wednesday. And then you have a four day weekend, like, Whoa, can you do that? Can you create more space for yourself by being focused by only cleaning the kitchen twice instead of five or six times instead of wasting gas, going home every single day.

And you're just out making a hundred percent deliveries you're on your delivery game. You've got your happy face on like, yo Joe, your food is here. Yeah. Are you a coach? Do you put content into the world? How can you batch? Can you meet with people only on two days? That way you're in the zone. Can you create content just one day per week? I want you guys to think about that. I want you to schedule it in right now and create this new practice. And I want you to let me know how it's going. Okay?
